Software Asset Management uplift at a Sydney utility
Cleaning up 4,000+ legacy software licence types and building compliance visibility from scratch.

Reliable compliance visibility, meaningful reporting, and informed software optimisation across the enterprise.
After a compliance review surfaced discrepancies in software entitlements, the CIO of a large Sydney-based utility engaged Service Management Specialists to assess the existing Software Asset Management practice. The SAM tool was significantly inaccurate, with over 4,000 legacy licence types in place and a heavy dependency on paper-based forms. The software request process was manually intensive and reconciliation was almost impossible.
We established an internal working group to surface the real inefficiencies and built current-state and target-state artefacts with a sequenced list of recommendations. From there the team executed the process improvements, fixed the licence data inside the tool to restore compliance visibility, upgraded the SAM toolset, defined an approach to software optimisation and remediation, and introduced a formal harvesting process for unused licences.
SAM practices materially improved. Meaningful reporting and dashboards were built. Stakeholders gained the insight they needed to make informed decisions and stay ahead of compliance risk. The harvesting process began returning licences immediately - cost savings the executive could see on the next monthly report.
“I have had the pleasure of working with Kirk Penn during one of our major project initiatives. During this time Kirk maintained a professional and positive attitude and was very attentive to the needs of our organisation. He worked in a difficult environment where gathering of critical business requirements information was a challenge and produced high-quality output documents. He was very approachable and I would highly recommend his work to others.”
